What Is a Captive Portal? A Guide for Venues

A captive portal is the web page that appears when you join a public or guest Wi-Fi network, before you can browse the internet. It "captures" your connection until you complete a step, such as accepting the terms, entering an email address or clicking "connect". For hospitality venues, it's the difference between free Wi-Fi that costs you money and guest Wi-Fi that tells you who your customers are.

This guide explains how captive portals work, what a good one looks like for a restaurant, pub, café or hotel, and how to set one up properly.

How a captive portal works

When a guest's phone joins your Wi-Fi, the network doesn't give it full internet access straight away. Instead:

  1. The phone connects to your guest network, usually an open network with no password.

  2. The network redirects the first web request to your login page. Most phones detect this automatically and pop the page up on their own.

  3. The guest completes the step you've set, such as entering their name and email or ticking the terms.

  4. The network lets them through, and they browse as normal. Their visit is recorded, so they're recognised next time.

The page itself is just a small website, which is why you can brand it, change the fields and add your own consent wording.

If guests ever tell you the page doesn't appear, our guide to fixing a captive portal that isn't popping up covers the usual causes.

Captive portal vs a password on the wall

A Wi-Fi password written on a chalkboard gets guests online, but it tells you nothing. A captive portal gives you something back for every connection:

  • Guest data: names and email addresses typed by guests themselves, with consent.

  • Visit history: who's new, who's a regular and who has stopped coming.

  • Footfall insight: real busy and quiet hours, from connections rather than guesswork.

  • A branded first impression: your logo and colours instead of a generic router page.

  • Control: terms of use, and no password being shared outside the venue.

What a good hospitality captive portal includes

Your branding

Logo, colours and a photo of your venue or signature dish. Guests are more willing to share details with a page that clearly belongs to you.

A short form

Ask only for what you'll use. Email is often enough, with name, birthday or phone number as optional extras. Every extra field costs you sign-ups.

Separate, unticked marketing consent

Wi-Fi access must not depend on agreeing to marketing. Under UK GDPR and PECR, marketing consent should be a separate, freely given choice, so use an unticked box with plain wording about what guests will receive. Our guide to guest Wi-Fi and GDPR covers the detail. This is general information, so check your own set-up with a qualified adviser.

Speed

The login should take seconds, and the Wi-Fi behind it should be fast. A great page followed by a slow connection undoes the goodwill.

What you need to run one

Most venues already have what they need. Captive portals run on commercial-grade access points, and B-Connect works with Cisco, UniFi, Aruba, TP-Link and most commercial-grade routers, so there's usually no new hardware. See installation for the options, including supplied hardware if you need it.

The other piece is where the data goes. A captive portal is most useful when contacts flow straight into your email platform or CRM. B-Connect syncs to 50+ tools, including Mailchimp, HubSpot, Klaviyo and Opera PMS. See integrations.

Captive portal FAQs

Is a captive portal the same as guest Wi-Fi?

Not quite. Guest Wi-Fi is the network; the captive portal is the login page in front of it. You can have guest Wi-Fi without a portal, but then you learn nothing about who uses it.

Do guests need to download an app?

No. A captive portal opens in the phone's browser automatically when guests join the network.

Can I collect email addresses through a captive portal legally?

Yes, if you're transparent about what you collect and why, and keep marketing consent separate and optional. Only send marketing to guests who opted in.

How B-Connect helps

B-Connect gives your venue a fully branded captive portal that captures guest name and email with opt-in consent, syncs contacts to your CRM straight away, and sends an automatic welcome email after a guest's first connection. Visit data feeds Wi-Fi analytics, so you can see returning guests and peak hours. Setup takes under 5 minutes on most existing hardware. See guest Wi-Fi, or book a demo to see the login page for your venue.
